Schedule Legend and Warnings
Overview: View and understand schedule legends and warnings to ensure that employee availability and time-off requests are managed effectively on the Jolt Web Portal.
Prerequisites:
Admin Access Required: You must have at least one of the following admin roles:
Location Website Admin
Content Group Admin
Company Admin
Instructions:
1. Log into the Jolt Web Portal:
Open your web browser and log in to the Jolt Web Portal with your admin credentials.
2. Navigate to Scheduling:
Go to Scheduling and select Make Schedule.
Viewing the Schedule Legend:
1. Access the Legend:
Click on Legend to view the various background colors used in the schedule and their meanings.
2. Understand the Color Codes:
Preferred Work Hours (Green):
Displays in green.
This is informational only and does not require admin approval.
You can disable this feature in Scheduling Settings if needed.
Pending Approval (Yellow):
Displays in yellow.
Represents Unavailable and Time Off requests that have not yet been approved.
Unavailable Requests (Orange):
Displays in orange.
Warnings will appear if you try to schedule an employee during these times.
Scheduling is still possible but will include a warning.
Time Off Requests (Red):
Displays in red.
Indicates scheduled time off.
Viewing Schedule Warnings:
1. Identify Shift Warnings:
Look for a triangle icon on the shift.
This icon indicates issues such as overlapping time off or overlapping shifts.
2. Check for Edited Shifts:
Shifts that have been edited since the schedule was published will be flagged.
3. Monitor Exceeded Hours:
If an employee has exceeded their allowed hours per week, the Hours box will be marked in red.
