How to Enable and Manage Scheduling Notifications for Employees

Ensuring your employees receive timely scheduling notifications is key to smooth operations. Here’s a step-by-step guide to set up and manage these notifications through the Jolt Web Portal.

Enabling Scheduling Notifications

  1. Log In to the Jolt Web Portal

    • Use your credentials to access the Jolt Web Portal.

  2. Navigate to Employee Settings

    • Go to the People section from the main menu.

  3. Select an Employee

    • Click on the name of the employee you wish to configure notifications for.

  4. Access Scheduling Notification Settings

    • Scroll down to the Scheduling Notification Settings section.

  5. Choose Notification Preferences

    • Email Notifications: Check this option to receive email alerts when the schedule is published.

    • Text Notifications: Check this option to receive SMS alerts when the schedule is published.

    • Push Notifications: Check this option to receive push alerts on the Jolt app for various scheduling updates.

  6. Save Your Settings

    • Ensure all changes are saved for the notifications to take effect.

Managing Multiple Employees

  1. Use Bulk Edit for Efficiency

    • For setting notifications for multiple employees at once, use the Bulk Edit feature.

  2. Apply Notification Settings

    • In Bulk Edit mode, assign the desired notification settings (Email, Text, Push) to each employee.

  3. Save Bulk Changes

    • Confirm and save the changes to apply them across the selected employees.

Types of Scheduling Notifications

  • Text Notifications

    • Sent when the schedule is published.

  • Email Notifications

    • Sent when the schedule is published.

  • Push Notifications

    • Sent for the following events:

      • When the schedule is published.

      • When a shift becomes available for pickup (for employees with the same role).

      • When an employee requests a shift trade (for employees with the same role).

      • When your shift trade, time off, or availability requests are approved or denied.

Additional Notifications for Location Website Admins

  • Push Notifications for Admins:

    • Time off requests.

    • Availability requests.

    • When someone picks up a shift.

    • When the second party accepts a shift trade.

Troubleshooting Tips

  • Ensure Accurate Contact Information: Verify that employees' contact details are correct in their profiles.

  • Check Notification Settings: Confirm that the appropriate notification types are enabled.

  • Update the Jolt App: Ensure the Jolt app is updated to receive push notifications.
