3. Getting Started With The Jolt Information Library

The Information Library in Jolt is a powerful tool that allows you to upload, organize, and manage media and documents, which can be embedded in operational checklists or used as a business-wide information database.

This guide for new Jolt admins will walk you through the basic steps to get started with the Information Library feature, whether you are using the Jolt Web Portal or the Jolt mobile app.

Media Types and Playback

The information library can be used to view documents, videos, photos, or listen to audio. These files can be viewed anytime on the Jolt app and are locally downloaded to the device. The information library supports a variety of file types, but playback is limited to the capabilities of the device you are using to view the library. Here are some universal file types recommended for upload:

  • jpg

  • gif

  • png

  • mp4

  • mov

  • pdf

  • txt

While some other popular file types like .docx or .avi are supported for uploading, many devices can not view these files without additional apps or support installed, so we recommend sticking to the above list. Most files can be saved or converted to one of these universal file types.

Adding Media to the Information Library

On the Jolt Web Portal

When logged into the Jolt Web Portal as an admin, navigate to the left side menu and select the Information menu.

Creating Categories

Once in the Information section, you'll be presented with the option to create new categories and subcategories for your files. These are synonymous with a folder for organizing your media. Select '+ New Category' and enter a name for your first category.

After naming your category, you'll have to follow the same step to create a subcategory.

Once we have our category and subcategory built, you'll now have upload options available to begin adding files.

Upload Your Own File(s)

When you select 'Upload Your Own File(s) you'll be presented with both 'Choose a File' and 'Drag and Drop' options to choose files you would like to upload. On the right you'll also have a reminder of our best supported file types.

Once your files have been uploaded, you'll see them in your subcategory and have the option to move, delete, and rename them to best organize them for your team.

Creating A Custom File

In addition to uploading files to Jolt, you can create a file from scratch with the 'Create a Custom File' option. Selecting this green button in a subcategory will open a basic word processor where you can type or copy in text, add photos, and add links to external sites for your team to utilize.

On The Jolt App

After creating categories (see above) users with the device admin permission can also add files to the Information Library from the Jolt mobile app. From the Information Library tab, admins will see a + button in the top right corner of the menu where they can begin adding files from their mobile devices.

You can either take new photos or videos in the moment to add to the library or you can choose a file from your photo library.

Managing File Permissions For The Information Library

Folders and files in the information library can be limited to certain locations in a content group and roles in a location. For example, you may only want a recipe book available to the back of the house, or an employee write-up procedure available to leadership. You can manage these permissions from the web portal.

Under any subcategory, you will find the blue 'Edit File Permission' button to access the settings menu.

From this menu, you can choose the roles that can view this subcategory's content as well as options for which locations can view the content when editing permissions in 'Content Group Mode.'

Embedding Information Library Media Into Jolt Checklists

Once you have added files to the Information Library, you can also embed or reference the content in your Jolt checklists. This can come in the form on in line media Jolt users can always see in their lists or reference links that will open the media in a separate window.

In both cases, you can tap the item to open it full screen and view a photo, video, document, or website link that helps your team do their best work.

Linking Your Media Into Lists

When editing a list, adding media from the information library is found on the right-side column under the item settings.

From here you can select your media from files added to the Information Library as well as toggle if the item is found through the linked reference button or embedded in the list.
