Each work order type can have customized text, email, or push notifications.

Before You Begin

  • Push notifications are only available to users who connect to Jolt using a device set up in personal mode. See this article to learn more about Single-user vs Multi-user Devices in Jolt.

  • Notifications are configured by role and work order template type. Because of this, not all work order types need to have the same notifications.

Different Work Order Notification Types

  • Work order created - Notification sent when a work order is created.

  • Work order closed - Notification sent when a work order is closed.

  • Work order assigned - Notification sent when a work order is assigned to a person either in the process of opening the work order or afterwards.

  • User mentioned on a post - Notification sent when a user is mentioned on a work order post. To learn more about how this is done, see the Posts section in the article Work Orders on the App.

  • An item on a work order is changed - Let’s you send a notification when the value on a multiple choice or yes/no item is changed.

  • Work order is past due - Notification sent when a work order passes its due date.

Setting up Basic Notifications

All of the notification types are set up the same way except for the item changed notification. Follow these steps for basic notification types.

  1. Select a work order template:

    • Log onto the Web Portal and navigate to Lists | Work Orders.

    • Click on the Templates tab and click on the work order template you want to set the notification for.

    • Click on the Notifications tab.

  2. Select a notification type:

    • Find the type of notification type you want to set up for the selected template.

    • Click the Add Notification button to open the side sheet.

    • Select the type of notification: email, text message, or push notification.

  3. Select a role:

    • Search for and select the role(s) you want to receive a notification for this work order template.

    • Click Save to add the notification.

The Item changed notification is different because you have to also select an item and which item result you want to be notified on.

  1. Select a work order template:

    • Log onto the Web Portal and navigate to Lists | Work Orders:

    • Click on the Templates tab and click on the work order template you want to set the notification for.

    • Click on the Notifications tab.

  2. Select the item changed notification type:

    • Find the type of notification you want to set up for the selected template.

    • Click the Add Notification button to open the side sheet.

    • Select the type of notification: email, text message, or push notification.

  3. Select a role:

    • Search for and select the role(s) you want to receive a notification for this work order template.

    • Click Continue to select the item.

  4. Select the item:

    • The side sheet shows all of the yes/no and multiple choice item types.

    • Select the one you want to trigger a notification and click Continue.

    • Note: If a notification needs to be triggered by more than one item, repeat these steps for additional items.

  5. Select the results:

    • The side sheet displays the item answer options as a multi-select list.

    • Check any one or more of the answers. The answers selected here will trigger the notification when they are set on the app or Web Portal.

    • Click Save to add the notification.
